The Challenge

Operating a hotel is no easy feat. There are dozens of employees switching shifts around the clock. When company policy dictates that getting to and from work is performed via public transportation, the night and weekend shifts present a challenge; these are hours when normal public transportation is not active. Managing transport during these hours involves a time-consuming organization of the hotels entire transport operations, often with an outcome of unnecessary expenses.
This is where the hotel’s timekeeper comes into action. Included within his job role is to write down all the employees that need a shuttle to and from the hotel. He then must take the list and convert it from paper to action. Requiring him to book manually one by one, a taxi for each employee. This is not the timekeepers only task at the hotel. He doesn’t have the time or power to control the whole complex process in an efficient way. He must determine; the number of taxis and minibuses to order, what is the optimal route from one passenger to the next, tracking who boarded the shuttle, etc. On top of that it is a task which includes constantly changing variables; adding employees last minute, cancelling a shift, ordering new taxis and so on.

The consequence is that the timekeeper is forced to change his job role to focus entirely on transportation logistics. Making him responsible for crafting complicated calculations on the fly, while lacking the tools and experience necessary to control and properly communicate with shuttle providers, drivers, and employees. This increases the likelihood that the hotel will end up with unnecessary trips and expenses, subsequently an expensive solution for commuting employees.

The Solution

Every department of the hotel gains access to the system, which collects their data and then constructs the optimal travel route and drop-off points.
In the system’s control panel, the hotel receives organized reports of all operations. They can check-in at any time; see duplicates in the trip, who arrived, and who was booked for a trip but did not board. The system locates gaps between the planning and execution phase. It then analyzes and produces suggestions to improve efficiency. Allowing the movement of more employees with less vehicles.
The Holiday Inn Plaza began with an average of 1.1 passengers per a vehicle, today OptiCity has increased that to 1.8 passengers per a vehicle, that is an improvement of more than 60%. On average companies have saved between 20%-30% on transportation expenses after incorporating OptiCity.

The Outcome
